I. Key Responsibilities: 1. Front Desk Management: - Greet visitors and direct them to the appropriate staff members. - Answer phone calls, take messages, and respond to inquiries in a professional and friendly manner. - Manage visitor logs and ensure that all visitors are properly signed in and out. 2. Administrative Support: - Perform general office duties such as filing, data entry, and maintaining office supplies. - Handle incoming and outgoing mail and packages. - Maintain and update contact lists, calendars, and office systems. 3. Scheduling & Coordination: - Assist in scheduling meetings, appointments, and conferences. - Coordinate conference room bookings and manage meeting logistics. - Prepare and maintain schedules for executives or other team members as needed. 4. Document & Record Management: - Prepare and format documents, reports, and presentations. - Maintain office records and files in an organized and easily accessible manner. - Assist with data entry and updating company databases as necessary. 5. Office & Facility Management: - Ensure the office environment is clean, organized, and welcoming for employees and visitors. - Assist in maintaining office equipment and facilities, coordinating repairs or maintenance when necessary. 6. Customer Service & Communication: - Provide exceptional customer service to both internal and external clients. - Communicate effectively with staff, management, and clients to ensure smooth operations. 7. Additional Responsibilities: - Perform other duties and tasks as assigned by management. II. Skills and Qualifications: - Proven experience as a Receptionist, Administrative Assistant, or in a similar role. - Excellent communication skills, both verbal and written. - Strong organizational and multitasking abilities. - Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint). - Ability to manage time effectively and handle various tasks simultaneously. - Strong interpersonal skills and a friendly, professional demeanor. - Ability to handle sensitive information with confidentiality. - High school diploma or equivalent (additional certification in office management or related field is a plus). III. Working Conditions: - Full-time, Monday- Saturday ( Half-day), Time : 08:00AM - 5:00 PM.
