A. A – Z OPERATION B. COMMUNICATION SERVICES: School Phone, Email, website, Facebook page, etc. C. PLAN & EXECUTION: Implement plan and strategies given by DG and DDG D. LEADERSHIP ROLE: Act as Leader, Inspector, HR & Administer, Supervisor E. OPERATION & ADMINISTRATION: a. HR & Administration: Recruit, promote, demote, observe, evaluate, attendance control, contract signing, payroll and all HR and administration process b. Customer Services: Problem and solution, greeting, general services, communication & relation, lost and found, Customer Relation Management (visiting & enrolling record, follow up & feedback), c. Admission & Enrollment: school management system, payments, student placement, interview, registration, application & documents, student ID & pick up card, etc. d. Sale: set and meet sale targets e. PR & Marketing: Public Relation, events and competitions, media, social media, SWOT analysis, business survey & expansion f. Website: Functional, Up-to-date and well-designed g. Media: Ensure enough school activities and competitions are being posted, boosted. Encourage all photos and videos are liked, shared, commented by students, staff and teachers h. Parents: Problem and solution, counseling, communication, relationship, services, community, support, observation and evaluation, etc. i. Do round: spot check ensure safety & quality of all activities both academic and general operation within the campus j. Stock: bookstore, staff & student uniform, all building facility, stationary, k. Library: ensure all books are up-to-date and enough for students, book check in-out record, etc. l. IT/ICT Teaching: network, server & system, camera, computer & printer install & maintenance, teacher and staff ID cards, website maintenance. m. MST: Maintenance, safety & security, transportation, hygiene, classroom and building, Air-conditioners, electricity, TV, Chairs, tables, Power generator, water supply and tank, garden, classroom & building keys, start and close building operation n. Facilities: Video room, speech and computer lab, science laboratory, dance room, cooking room, art class, music room, football & basketball court, hall ways, swimming pool, toilets & hygiene supplies, teacher’s room, nap room, cafeteria, etc. o. Cafeteria: Food & drink menu, food quality control & price, hygiene, operation, services, staff uniform, arrangement & facility, waste management, etc. p. Document Management: All procedures, test, document & archive, etc. q. Account & Finance: expense & income, balance sheet, petty cash, utilities control, payroll, set budget planning for all department operations, etc. r. Strategic plan: HR, Sales & Marketing, Utilities, General Business Operations, of the overall products and services every year. F. ACADEMIC a. Quality. b. Student: discipline, learning outcome, score, attendance, attitude, communication, class schedule, counseling, grooming, participation, engagement, study abroad, student ambassador , competitions, observation, evaluation, alumni, etc. c. Teacher: discipline, quality of teaching, attendance, communication, teaching schedule, counseling, attitude, grooming, participation and engagement, competition, events & activities, training, observation and evaluation, etc. d. Curriculum: Best, up to date & suitable at all time. e. Events, Activities & Competitions: Promote and execute fund raising, outdoor activities, community outreach, scholarship, academic & sport competitions, etc. f. Class Schedule & Academic Calendar g. Academic policies and procedures: Prepare and execute all academic affairs policies and procedures h. Admission & Enrollment: policies, procedures, etc. i. Test & Teaching support material: Prepare, update, and archive tests, quizzes, hand out, test policy, inspector policy & procedures, other document & archive et j. Document Management: manage & all documents both hard & soft. k. Academic school management system: Well understood & implementation. l. Respect and act according to school’s vision, mission, goals, all management system, policies and guidelines. b. Conduct, attend all meeting & training required by the organization c. Prepare all reports of result and achievement of all departments d. Cooperate well with other departments and ELT Campuses. e. Prepare daily, weekly, and monthly reports to the immediate manager f. Perform other duties as required. H. REPORTS ON ALL DEPARTMENTS Customer Service reports 1. Competitor analysis including price, product and strategy (termly, semester, yearly) 2. Generate number of student enrollment and student information analysis including suggestion box and survey (every term as required) 3. Stock & inventory reports including books, uniforms, & other materials (termly, semester, yearly) 4. Paper management (as required) 5. Daily operation services 6. Call center (daily, monthly, semester, yearly) 7. Student follow up report (monthly, semester, yearly) 8. Customer daily visit report (daily, monthly, term, semester, yearly) Administration reports 1. Transportation service (termly, semester, yearly) 2. Parking services report including number of motorbike, bike, and car (daily, monthly, termly) 3. Security & safety (daily, weekly, monthly, semester, yearly) 4. Facilities and physical assets including air-con, lights, tables, chairs, whiteboards, school buses (termly, semester yearly) 5. School Sanitation (daily, weekly, termly, semester) HR reports 1. Staff recruitment & turnover (termly, semester) 2. Payroll (every two weeks) 3. Training & staff development including technical & people skills (weekly, termly, semester, yearly) 4. Staff attendance and tardiness reports (monthly) 5. Staff performance report and promotion (semester & yearly) Academics reports 1. Teacher’s performance including teacher evaluation, grooming, attendant, behavior & attitude etc. (termly, semester) 2. Academics calendar (termly, semester, yearly) 3. School events, academic activities, and other related activities (termly, semester, yearly) 4. Teacher workshop & training for teachers and students (termly, semester, yearly) 5. Student number & class schedules of new term (termly, semester, yearly) 6. Students’ progress report and record books (monthly, termly, semester, yearly) School curriculum and schedules including summer classes, all General ESL classes, vocational training, GEP, ADE, and all ELT school program (termly, semester, yearly) 7. Stock & inventory reports including books, uniforms, & other materials (termly, semester, yearly) Account & Finance reports 1. All expenses & Income (daily, weekly, monthly, semester) 2. Students payment reports including due balance, paid, receipts (termly, semester)
