Title: Admin Supervisor

Job Summary: is responsible for overseeing and managing administrative functions within an organization. This role typically involves supervising administrative staff, coordinating office activities, managing office supplies and equipment, and ensuring the smooth operation of day-to-day business functions. The Senior Admin Officer will also support senior management with organizational tasks and ensure that the office environment is conducive to productivity.
Duties and Responsibilities:
• Manage and support team/office requirements, stock, and assets.
• Coordinate and arrange schedules for team meetings, appointments, interviews, company events, and event preparation.
• Arrange weekly, monthly, yearly, and occasional prayer sessions.
• Organize company events, meetings, conferences, and other office activities.
• Assist in the planning and coordination of internal and external events.
• Monitor administrative documents as requested by the team and for internal/external use.
• Monitor office fixtures and furniture; if there are any issues, prepare a report and resolve them for the team.
• Oversee day-to-day office operations, ensuring efficiency and effectiveness.
• Ensure the office complies with health and safety regulations.
• Conduct regular inspections of the office premises and report any issues.
• Ensure the office is well-maintained, organized, and conducive to a productive work environment.
• Manage office supplies and ensure the office is stocked with necessary materials.
• Handle correspondence, prepare reports, and assist with presentations as needed.
• Maintain and organize office records, documents, and files, ensuring they are properly filed and easily accessible.
• Manage confidential information with discretion and ensure compliance with data protection regulations.
• Assist in the preparation of office budgets and monitor spending to ensure cost-effectiveness.
• Oversee procurement processes for office supplies, equipment, and services, ensuring cost efficiency and quality.
• Prepare uniform records (provide and return), purchase requisitions (PR), lists, and manage workflow.
• Manage PR, PR plans, budget plans, payment approvals, admin expense claims, and cash advances.
• Coordinate new joiner arrivals (access card, parking, seat arrangement, stationery, and other requirements).
• Request/update access cards/parking for the team (in/out) and provide the monthly parking access report to the CR and Parking Departments.
• Prepare monthly admin work plans/reports.
• Manage the master list of company phone numbers/cell phones for the team.
• Control staff ID cards (photos/printing).
• Submit/apply for offline payments as required.
• Arrange utility/internet payments.
• Handle the GIA Panha project and other company projects assigned by the manager.
• Provide support to the board members when needed.
• Supervise administrative staff, providing guidance, training, and performance management.
• Perform other tasks as assigned by the manager.
