Job Summary
The School Operations and General Support Supervisor is responsible for overseeing the day-to-day administrative and operational functions of the school, ensuring a smooth and efficient environment for students, staff, and visitors. This role involves managing facilities, coordinating support services, supervising administrative staff, and ensuring compliance with school policies and regulations.
Key Responsibilities
1. Operational Management
• Oversee daily school operations, including facilities management, security, and maintenance.
• Ensure classrooms, offices, and common areas are well-maintained and equipped.
• Coordinate with vendors and service providers for repairs, cleaning, and supplies.
• Manage school inventory, including textbooks, furniture, and equipment.
2. Administrative Support
• Supervise administrative staff (receptionists, and support personnel).
• Support the coordination of school events, meetings, and parent-teacher conferences.
• Handle inquiries from parents, staff, and external stakeholders.
3. Health, Safety & Compliance
• Ensure compliance with school policies, health & safety regulations, and emergency protocols.
• Conduct regular safety inspections and coordinate drills (fire, earthquake, lockdown).
• Maintain records for staff and student safety certifications (e.g., first aid training).
4. Student & Staff Support
• Assist in student transportation, cafeteria services, and extracurricular logistics.
• Support staff with operational needs, including IT, printing, and resource allocation.
• Address and resolve operational issues in a timely manner.
5. Customer Service Support & Management
• Serve as the primary point of contact for parents, students, and visitors regarding operational and administrative inquiries.
• Ensure a welcoming and professional environment by training and monitoring front-office staff on customer service best practices.
• Handle and resolve complaints or concerns from stakeholders in a timely and diplomatic manner.
• Develop and implement customer service protocols to enhance communication and satisfaction.
• Manage school communication channels (phone, email, front desk) to ensure prompt and accurate responses.
• Organize and facilitate parent orientations, meetings, and feedback sessions to improve engagement.
• Maintain a log of frequently asked questions (FAQs) and standard responses for common inquiries.
• Collaborate with teachers and staff to address parent and student needs effectively.
Qualifications & Skills
• Education: Bachelor’s degree in Business Administration, Education Management, or related field (preferred).
• Experience: 3+ years Operation, Admin, Store Manager, facility management, school
• Skills:
o Strong organizational and multitasking abilities.
o Excellent communication and interpersonal skills.
o Proficiency in MS Office and school management software.
o Problem-solving and decision-making skills.
o Leadership and team supervision experience.
