The Procurement Manager (Auto Spare Parts) is responsible for overseeing and managing the procurement of auto spare parts and general items required to maintain and operate the truck fleet at SV Trucking. This role requires extensive knowledge and experience in sourcing, purchasing, and managing the inventory of auto spare parts. The Procurement Manager ensures timely availability of quality parts, maintains cost-effective strategies, and complies with all relevant regulations. The Procurement Manager will collaborate closely with fleet management, mechanics, and other departments to ensure parts are procured based on operational and maintenance needs. I. Key Responsibilities: 1. Procurement Strategy & Planning • Develop Procurement Strategy: Create and implement a procurement strategy for acquiring auto spare parts in line with the operational needs of SV Trucking's fleet. • Budget Management: Prepare, manage, and track the budget for auto spare parts procurement, ensuring adherence to cost-control measures and financial targets. • Forecasting & Demand Planning: Analyze fleet maintenance schedules and historical data to forecast spare part demand, ensuring optimal stock levels are maintained. 2. Supplier Management • Supplier Selection: Identify and establish relationships with reputable suppliers of auto spare parts, both OEM (Original Equipment Manufacturer) and aftermarket. • Negotiation: Negotiate pricing, delivery terms, and contract conditions with suppliers to secure the best value for the company while ensuring the quality of parts. • Vendor Evaluation: Continuously evaluate and monitor supplier performance, ensuring compliance with agreed terms, quality standards, and delivery schedules. • Supplier Audits: Conduct regular audits and performance reviews of suppliers to ensure compliance with the company’s requirements and industry standards. 3. Inventory & Stock Management • Inventory Control: Oversee inventory management to ensure the availability of key spare parts for fleet maintenance while avoiding overstocking or stockouts. • Inventory Optimization: Implement inventory strategies to maintain balanced stock levels that support operational needs and cost efficiency. • Demand & Lead Time Monitoring: Regularly review lead times and delivery schedules to ensure parts are procured in time for maintenance and repairs. 4. Fleet Maintenance Support • Collaboration with Maintenance Teams: Work closely with fleet managers and mechanics to identify upcoming parts requirements for routine maintenance and unexpected repairs. • Parts Specification Compliance: Ensure all parts meet the required specifications for compatibility, safety, and performance as outlined by fleet maintenance teams. 5. Cost Control & Financial Oversight • Cost Management: Ensure procurement activities stay within the allocated budget for auto spare parts, seeking cost-saving opportunities without compromising quality or safety. • Purchase Order Processing: Approve purchase orders, monitor payment processes, and ensure compliance with the company’s procurement policies. • Cost-Effective Sourcing: Identify and implement sourcing strategies to reduce costs on bulk purchases and recurring spare part requirements. 6. Compliance & Quality Control • Regulatory Compliance: Ensure all procured spare parts comply with relevant industry standards, safety regulations, and company policies. • Quality Assurance: Work with the quality assurance team to perform quality checks on parts and address any quality-related concerns with suppliers. • Documentation & Record Keeping: Maintain accurate records of all procurement activities, including orders, contracts, and supplier communications, in line with the company’s documentation policies. 7. Reporting & Performance Metrics • Reporting: Provide regular reports to senior management on procurement performance, budget adherence, supplier performance, and any challenges faced. • KPI Tracking: Develop and track key performance indicators (KPIs) to assess procurement efficiency, supplier reliability, and cost-saving efforts. 8. Team Leadership & Collaboration • Supervise Procurement Team: Lead and manage the procurement team, including Procurement Supervisors and Executives, ensuring the team meets its goals and objectives. • Cross-Departmental Collaboration: Work collaboratively with other departments (operations, finance, HR) to ensure alignment in procurement objectives, delivery timelines, and cost management. II. Required Qualifications: • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field. • 5+ years of experience in procurement, with at least 3 years of direct experience in auto spare parts procurement for trucks, machinery, or heavy-duty equipment. • Proven track record of managing the procurement process for auto parts, including vendor management, inventory control, and cost optimization. • Strong knowledge of auto parts, including both OEM and aftermarket products, and the specific needs of heavy-duty fleets. • Proficiency in procurement software and ERP systems (e.g., SAP etc.) and the ability to track procurement processes and inventory levels efficiently. • Excellent negotiation skills and the ability to build strong supplier relationships. Preferred Qualifications: • Certification in procurement or supply chain management. • Experience with fleet maintenance and an understanding of the lifecycle of various truck components (engines, tires, suspension, etc.). • Experience in a logistics or transportation company that handles large vehicle fleets.
