Admin & HR Manager: Admin & HR Manager, will lead, direct and manage the day-to-day Administrative and Human Resources activities for the company. Their duties include supervising staff, facilitating communication throughout a company, developing procedures to make a workplace more efficient and providing oversight and guidance to the development and monitoring of processes related to recruitment and retention, compliance, compensation. Admin & HR Manager plays a pivotal role in ensuring smooth operations and maintaining a positive work environment. I. Administration/ Procurement / Logistic Responsibilities 1. Office Management: They handle day-to-day office operations, including facilities, supplies, and equipment. Inventory management and keeping track of expenses. 2. Facility Maintenance: Coordinating with maintenance companies to keep the office clean and safe. Ensuring appliances are in good working order. Ensure care and upkeep of the office infrastructure, coordinating with maintenance team for maintenance tasks to be carried out. 3. Document Control: They maintain records, contracts, and other important documents. 4. Procurement: Handling procurement and coordinate with team vendors for quotations and negotiations, preparing and review of comparative quotes and forwarding to next level for perusal and approvals. 5. Budgeting and Finance: They manage budgets, expenses, and financial records related to administrative tasks. 6. Event Planning: If the media company hosts events, the admin manager organizes logistics, guest lists, and schedules. 7. Coordination: They collaborate with other departments to ensure efficient workflows. They address employee queries and concerns. Actively communicate within team and other departments in a cooperative and good will manner and respond to their requests / complaints / queries. 8. Payroll Management: They handle payroll and benefits administration. 9. Policy Development: They develop and communicate company policies. 10. Assisting Head of Department in updating day to day operations activities as needed. II. Human Resource Responsibilities: 1. Develop and Implement HR Strategies: Align HR initiatives with the overall business strategy. Create and execute plans related to staffing, employee relations, and talent management. 2. Bridge Management and Employee Relations: Address employee demands, grievances, and other issues. Foster a positive working relationship between management and staff. 3. Recruitment and Selection: Manage the recruitment process, including job design, interviews, and hiring decisions. Actively participates in the recruiting and selecting process. 4. Performance Management: Oversee a performance appraisal system that encourages high performance. Coach and develop to resolve all performance and other employee relations issues, including conducting investigations and partnering with Legal when necessary. 5. Compensation and Benefits: Maintain pay plans and benefits programs. 6. Training and Development: Assess training needs and implement relevant programs. Ensure all staffs are trained in and utilizing good people management skills. 7. Legal Compliance: Ensure compliance with all legal requirements related to human resource management. Ensure compliance with relevant employment legislation and company policy. Keep current on local laws and regulations, to ensure compliance in HR practices and internal/external audits. 8. File Confidentiality and Security: safeguard the confidentiality and security of files and filing systems. 9. Staff Supervising: ensure productivity and adherence to company standards. 10. Onboarding: onboard new employees, ensuring a smooth transition into the company. Ensure that new hires / appointees are fully supported in the on-boarding process. 11. Staff Retention: Drive workforce planning to ensure people needs are identified and addressed. Manage the talent pipeline and retention in conjunction with business management. III. Requirement • 6+ years of work experience as Operations Manager/ Office Manager or similar roles. • A proven leader with strong interpersonal skills, keen to motivate and effectively educate and connect. • department managers and employees regarding all HR and administration matters. • Outstanding organisational skills and problem-solving skills. • Attentive listener, understanding, empathetic, and personable. • Bachelor's degree in business, Human Resources, education or related field required. • Design and implement HR policies and procedures to ensure a best in class HR service. • Ensure compliance with national employment legislation and company policy. • Ensure all aspects of HR administration are implemented and fully fit for purpose. • Remain confident when dealing with negative situations, convince others to have ideas and create new options, encouraging and enthusing them to come up with imaginative solutions to difficult problems. • Excellent communication skills (Minute taking and reports writting) and Leadership ability. • Honest, ethical, and dependable. • Experienced in mediation and conflict resolution processes; Positive, go-getter attitude. • Expert stress management skills and ability to make important decisions under pressure. • Attentive listener, understanding, empathetic, and personable.
